Terms & Conditions

• The ICAI reserves the right to accept or reject any sponsorship proposal at its sole discretion, in accordance with its policies.
• All sponsorship and firm participation packages are exclusive of applicable GST.
• Allocation of sponsorship categories and exhibition stalls will be strictly on a first-come, first-served basis.
• Sponsorship participation shall be confirmed only upon receipt of full and final payment.
• Sponsors and exhibitors are required to submit details of their representatives to ICAI at least one month prior to the Conference. All representatives must mandatorily wear official badges during the event.
• ICAI reserves the right to change the venue, dates, or modify the exhibition layout at any time due to unavoidable or unforeseen circumstances.
• Confirmed sponsorships and exhibitor bookings are strictly non-transferable. Detailed terms and conditions will be shared separately with confirmed participants. ICAI may assist in issuing participation letters to facilitate necessary government permissions for bringing exhibits to the Conference venue. For related opportunities, the WOFA Secretariat may be contacted.
• Construction of bare space, customized stalls, premium stalls, as well as flex printing and mounting, must be carried out exclusively through vendors approved by ICAI.
• Use of microphones or any promotional activities that disturb or interfere with other sponsors/exhibitors will not be permitted, in the interest of safety and event discipline.
• The number of representatives permitted at the Conference venue for each sponsor/exhibitor will be limited and determined based on the level of sponsorship, at the discretion of the organizing committee.
• All cancellations must be submitted in writing to ICAI. A refund of 50% of the payment will be applicable for cancellations made on or before 30th October 2026. No refunds shall be provided for cancellations received thereafter.
• ICAI reserves the right to amend, rearrange, or modify the floor plan, or cancel any sponsorship/exhibitor participation without assigning any reason.
• ICAI reserves the right to cancel any booking in the event of non-payment within the stipulated timelines.
• Written confirmation of participation will be issued only upon receipt of 100% advance payment.
• Sponsors/exhibitors shall ensure that no damage is caused to the venue or any infrastructure. Any such damage shall be the sole responsibility of the sponsor/exhibitor, who shall indemnify the ICAI accordingly.
• Details regarding the handover schedule of exhibition space will be communicated closer to the Conference dates.
• All electrical connections within stalls and designated areas will be executed by the appointed electrical contractor. Sponsors/exhibitors must inform ICAI in writing of any additional electrical requirements at least 30 days in advance. Additional connections will be charged on a pro-rata basis.
• Sponsors/exhibitors intending to import equipment or consumables for exhibition purposes must inform ICAI at the time of booking to facilitate coordination with designated freight partners.
• Upon receipt of a cancellation notice, ICAI reserves the absolute right to reassign or resell the forfeited sponsorship/exhibition opportunity.
